What is PDF?
PDF (Portable Document Format) is the global standard for document exchange. Created by Adobe in 1993, it preserves exact layout, fonts, and formatting across every device. PDF uses fixed-position layout where every element is placed at absolute coordinates on the page.
While PDF is ideal for sharing and printing, it was not designed for data extraction. Tables in a PDF are visual arrangements of text — there is no underlying spreadsheet structure.
What is XLSX?
XLSX is Microsoft Excel's modern spreadsheet format, introduced in 2007 as part of the Office Open XML standard. It stores data in cells organized by rows and columns, with support for formulas, charts, pivot tables, and formatting.
XLSX files are ZIP archives containing XML files that define workbook structure, cell values, styles, and relationships. The format is compatible with Excel, Google Sheets, LibreOffice Calc, and most spreadsheet applications.

Understanding PDF to Excel Conversion
Converting PDF to Excel is a data extraction challenge. PDFs store text as positioned characters on a page — there is no concept of cells, rows, or columns. Our converter analyzes the visual layout to detect tabular patterns and reconstruct them as structured spreadsheet data.
Table Detection
The converter identifies tables by analyzing text alignment, spacing patterns, and visual boundaries (lines and borders). Well-structured tables with clear columns and consistent spacing convert most accurately. Tables without visible borders are detected using text alignment heuristics.
Formatting & Cell Values
Numbers, dates, currency values, and text are extracted and placed in the correct cells. Basic formatting such as bold, font size, and alignment is preserved where possible. However, colors, background fills, and complex conditional formatting from the original document may not transfer.
OCR for Scanned PDFs
Scanned PDFs contain images rather than text data. When OCR is enabled, our converter uses optical character recognition to extract text from images before building the spreadsheet. Select the correct OCR language for best accuracy.
